Privacy Policy for MultiDoc Offline Converter

This Privacy Policy explains which personal data is processed in connection with the use of the software MultiDoc Offline Converter.

It applies to the use of MultiDoc Offline Converter in the FREE and PRO versions.

A separate privacy policy applies to visits to the product website and to the data processing activities taking place there.

1. Controller​

The controller responsible for data processing in connection with MultiDoc Offline Converter is:

2. No Data Protection Officer​

No data protection officer has been called because, according to the current assessment, there is no statutory obligation to appoint one.

3. Local Data Processing​

MultiDoc Offline Converter is a locally executed desktop application.

The content, files, projects, or other data that the user processes with MultiDoc Offline Converter are processed locally on the user's device. The user decides which content is processed with the software.

The software manufacturer does not gain access to the data processed with the application.

MultiDoc Offline Converter does not provide cloud synchronization with servers operated by the software manufacturer. No online user account with the software manufacturer is required to use the application.

4. No Telemetry, Analytics, or Advertising​

MultiDoc Offline Converter does not use

  • telemetry,
  • usage analytics,
  • tracking systems,
  • advertising networks, or
  • crash-reporting services operated by the software manufacturer.

The application does not transmit usage statistics or information about documents converted by the user to the software manufacturer.

Personal data is not disclosed for advertising purposes.

5. Local Application Settings​

MultiDoc Offline Converter stores application settings locally within the user's Windows environment or in the local storage areas provided for installed applications.

These settings are used for the configuration and use of the application. They may include, in particular:

  • language settings,
  • display settings,
  • application configuration,
  • license status,
  • local license information,
  • information indicating whether the EULA has already been displayed and accepted,
  • date and version of the accepted EULA,
  • settings relating to the portable ZIP version.

The locally stored application settings are not transmitted to the software manufacturer.

Local settings are stored in order to make the software usable.

The legal basis for any processing of personal data is Article 6(1)(b) GDPR insofar as the storage is necessary to provide the software, and Article 6(1)(f) GDPR on the basis of the legitimate interest in providing functional and user-friendly software.

Where information is stored on or read from the user's terminal device, for example in local configuration files, system-related application settings, or comparable local storage locations, this is done in order to provide software functions expressly requested by the user. The legal basis for such storage on the terminal device is Section 25(2) No. 2 TDDDG, insofar as this is necessary to provide the service requested by the user. Information concerning acceptance of the EULA is stored solely to prevent the EULA from being displayed again each time the application is started and does not constitute consent under data protection law.

6. Microsoft Store: Installation, Updates, Purchase, and Licensing​

Installation and updates of the application, as well as the purchase and licensing of the PRO version, are handled through the Microsoft Store and Windows infrastructure provided by Microsoft.

For the Microsoft Store version of MultiDoc Offline Converter, the software manufacturer does not operate its own

  • payment servers,
  • activation servers,
  • license servers, or
  • update servers.

In connection with use of the Microsoft Store, purchase of the PRO version, payment processing, and license verification, Microsoft may process personal and technical data under its own responsibility.

The nature, scope, and purpose of such processing are governed by Microsoft's applicable privacy policies and terms.

The application does not transmit the user's Microsoft account credentials or complete payment information to the software manufacturer.

7. Opening the Product Website​

The application contains a link to the software manufacturer's product website in the About dialog (Visit homepage).

MultiDoc Offline Converter does not establish a connection to the product website automatically or in the background.

Only when the user explicitly selects the link does the application instruct Windows to open the product website using the default web browser configured on the device.

The product website is not embedded in MultiDoc Offline Converter, and the application does not load any website content in the background.

Once the website is opened, communication takes place between the browser used by the user and the web server hosting the product website. In this process, technically required server and connection data such as the IP address may be processed.

8. Support by Email​

The application contains a link for contacting support by email.

When the user selects this link, MultiDoc Offline Converter opens the default email application configured on the user's device by means of a mailto: link.

MultiDoc Offline Converter does not itself send an email and does not transmit a support request to the software manufacturer merely by selecting the link.

To simplify a support request, the application name and the installed application version are inserted into the prepared email body.

The prepared email is displayed to the user in the user's email application before it is sent. The user may change or completely remove the inserted information.

Only when the user sends the email personally are the data contained in the email transmitted to the software manufacturer and to the mail servers involved in the transmission.

The following data may be processed in particular:

  • sender's email address,
  • content of the message,
  • product name and application version, if the user leaves this information in the prepared email,
  • technical information voluntarily provided by the user,
  • files, screenshots, or other information voluntarily attached or provided by the user.

The software manufacturer uses these data solely to process and respond to the respective support request.

The processing is based on Article 6(1)(b) GDPR insofar as the support request relates to the performance of a contract or use of the software.

For other inquiries, processing is based on Article 6(1)(f) GDPR. The legitimate interest consists in handling inquiries relating to the software, analyzing errors, and providing support.

9. Retention Period for Support Data​

Support emails and the associated personal data are deleted when they are no longer required for the respective support case.

Deletion takes place no later than three months after the data are no longer required for the support case.

Data may be retained for a longer period where statutory retention obligations apply or where the data are exceptionally required for the establishment, exercise, or defense of legal claims.

10. Recipients of Personal Data​

Documents and document content processed locally with MultiDoc Offline Converter are not transmitted to the software manufacturer or to third parties.

Where the user sends a support email personally, the email and mail server service providers technically required for transmission may process communication data as part of the transmission.

Personal data will otherwise be disclosed by the software manufacturer only insofar as this is

  • necessary to process the respective inquiry,
  • required by law, or
  • necessary for the establishment, exercise, or defense of legal claims.

Personal data is not disclosed for advertising purposes.

11. Transfers to Third Countries​

Email communication, support communication, or communication channels selected by the user may involve transfers to third countries where the user is located outside the European Union or the European Economic Area or uses corresponding services.

12. Rights of Data Subjects​

Where the software manufacturer processes personal data, data subjects have, subject to the applicable statutory requirements, in particular the following rights:

  • right of access pursuant to Article 15 GDPR,
  • right to rectification pursuant to Article 16 GDPR,
  • right to erasure pursuant to Article 17 GDPR,
  • right to restriction of processing pursuant to Article 18 GDPR,
  • right to data portability pursuant to Article 20 GDPR,
  • right to object pursuant to Article 21 GDPR.

Where processing is based on Article 6(1)(f) GDPR, the data subject may object to the processing on grounds relating to the data subject's particular situation.

To exercise these rights, the user may contact the software manufacturer at privacy@multidoc-converter.com.

Data subjects also have the right to lodge a complaint with a competent data protection supervisory authority.

13. Data Protection Supervisory Authority​

The data protection supervisory authority responsible for the software manufacturer is:

Irrespective of this, data subjects may also exercise their statutory right to lodge a complaint with any other supervisory authority competent under applicable data protection law.

14. No Automated Decision-Making​

The software manufacturer does not carry out automated decision-making, including profiling within the meaning of Article 22 GDPR, in connection with MultiDoc Offline Converter.

15. Changes to this Privacy Policy​

This Privacy Policy may be amended if the features of MultiDoc Offline Converter, the associated data processing activities, or the legal requirements change.
